FAQ: Zoom Cloud Recording and Kaltura

Overview

Beginning in the Spring ‘21 Semester, the way we manage Zoom Cloud Recordings will be changing to fall in line with Kaltura becoming our central Video Management platform.

All Rider Faculty and Staff have access to the Kaltura platform though both Canvas and MediaSpace.  MediaSpace is a new site, powered by Kaltura, that allows users to view and publish media and enables collaboration with colleagues.

Important Dates

Beginning on February 1, 2021:

  • All newly created Zoom Meeting and Webinar Cloud Recordings will begin to automatically copy to Kaltura.  

    • Cloud recordings will be housed under your “My Media” category in Kaltura, which is accessible in Canvas courses and via MediaSpace.  

    • Users can expect to see their Zoom Recordings in their My Media shortly after the recording is finished processing.

On March 1, 2021:

  • All existing recordings saved in Zoom Cloud Storage will be given a 6-month expiration date.

    • Recordings will only be saved in the Zoom Cloud for 6 months before being automatically moved to the Trash, where they can be recovered for up to 30 days before permanent deletion.

  • All newly created recordings will also be given a 6-month expiration date in Zoom Cloud Storage.

    • This expiration date does NOT apply to the copy of the recording stored in Kaltura, and available in your My Media.

    • All Zoom Cloud Recordings created on February 1 and beyond have been, and will continue to be, copied to Kaltura.  The 6-month expiration date does not apply to the copy of the recording in Kaltura.

Frequently Asked Questions

How will my Zoom Cloud Recordings be affected on March 1,2021?

  • Zoom Cloud Recordings made before August 31, 2020 will be moved to the Trash.  Recordings will remain in the trash for 30 days before permanent deletion.  Users will be notified via email 7 days before recordings are permanently deleted.

    • Example: If you recorded a meeting on July 5, 2020, your recording will be moved to the trash on March 1, 2021 and deleted permanently on March 30, 2021.

  • Zoom Cloud Recordings created on August 31, 2020 through February 1, 2021 will be retained for 6 months from the date created.  You will be notified via email 7 days before recordings are permanently deleted.

    • Example: If you recorded a meeting on October 1, 2020, you meeting will be moved to the trash on April 1, 2021 and permanently deleted on April 30, 2021.

  • Zoom Cloud Recordings made on, and after, February 1, 2020  will be copied to Kaltura automatically as described above and remain in the Zoom Cloud for 6 months before being moved to the trash.

    • Example: If you recorded a meeting on February 10th, 2021, your recording will automatically be copied and retained in Kaltura. On the Zoom Cloud Recording platform, it will be moved to the trash on August 10, 2021, and will be permanently deleted from the Zoom Cloud on September 9, 2021.

Should I delete recordings that I no longer need?

  • Yes, we encourage users to delete Zoom Cloud Recordings that they no longer need. 

How do I save my recordings from being deleted?

  • Recordings can be downloaded from Zoom Cloud Recordings storage.

    • Recordings that you would like to distribute for viewing can be uploaded to Kaltura

    • Recordings that you would like to save for your own personal archive can be uploaded to your Rider University Google Drive or uploaded to Kaltura.

How do I migrate my existing recordings from the Zoom Cloud to Kaltura?

  • For Canvas users (most Faculty), please visit this guide.
  • For other users (most Staff), please visit this guide.

Do I need to move my recordings made before February 1st to Kaltura?

  • If you would like to retain them past their 6-month expiration date, then you must move them to Kaltura, save them locally, or save them to Google Drive

How long do I have to migrate my recordings made before February 1, 2021?

  • We recommend that you migrate the recordings that you wish to retain March 1, 2021.  After this date, recordings older than 6 months will be moved to the trash.  You will have 30 days to remove the recover the recording from the trash before it is permanently deleted.

Do I have to wait until February 1, 2021 to migrate my recordings?

  • No. OIT highly recommends migrating the recordings you wish to keep as soon as you can.  Kaltura is live in Canvas and MediaSpace for all users.

Will there be any training opportunities offered to Faculty and Staff?

  • The Teaching and Learning Center has been, and will continue to, offering training to Faculty.
  • Information on training for Kaltura MediaSpace and Zoom recordings will be posted in the near future.
